Problems in Corporate Travel Approval & Booking Process
As most organisations grow, their business processes also tend to multiply and become more and more complex. The age old problem of maintaining process efficiency for a growing organisation has been an on-going discussion, especially so in our digital age.

There are two key processes in corporate travel approval and management:
- For the travel agents who perform the sourcing and bookings for the corporate entity.
- For the corporate traveller who needs to comply with his organisation’s travel policies, and the approval mechanisms within the corporate organisation itself.
Because both processes are not integrated in most organisations, there are often many rounds of communication involved between the traveller, his approving manager, the HR, and the travel agent – from the steps of travel request, quotation, price approval, before the actual flight or hotel booking itself.
We asked ourselves how we could come up with a solution, that would provide corporate travellers the flexibility they needed, ensure that they complied with their corporate travel polices, and enable them to have their flights and hotels booked and approved in most effective way.
Creating TripPlan – The Corporate Travel Management Solution
Making use of our experience in Sabre GDS (Global Distribution System), we worked closely with the product owner from Sabre to define the various features suited for Sabre’s corporate clients, while bearing in mind the need for the solution to be flexible and scalable enough to provision for future needs.
The solution, Sabre TripPlan, was conceptualised. We aimed to integrate the approval and booking processes into a single self-service platform, that was able to cater to the needs of all the user groups – the corporate travellers, HR, the approving managers, and the travel agents.
We collaborated to build TripPlan in an agile development model and understand the actual needs of the market in a heuristic manner.
Because corporate travel is a very complex problem, neither the product owner nor our team was able to fully define the processes and functionalities that were suitable for the Asia market. So, instead of planning for a full-scaled product, we collaborated to build TripPlan in an agile development model and understand the actual needs of the market in a heuristic manner.
Milestones were set for the development of the product releases. Multiple review sessions were conducted together with the project stakeholders and local market representatives. Sometimes, pilot customers were also involved in our review sessions. All these ensured the delivery of a solution that fitted the corporate users and travel agencies.
Instant Flight & Hotel Booking for Corporate Travellers
We developed Sabre TripPlan as a web-based travel management solution for organisations, allowing the corporate traveller to plan their trip and conform to their company’s travel policies. The product offers an end-to-end travel booking process, in a one-click solution for travellers, allowing them to make instant hotel and flight bookings. Users enjoy access to all fare types, market, corporate and published fares.

One of the key decisions made for the product back then was mobile optimisation. This decision was made in view of the emerging mobile browsing behaviour at the time. This approach has been proven to be very fruitful, considering the proliferation of mobile devices and high levels of usage in today’s context.
Today, Sabre TripPlan is currently used by more than 200 corporate companies in Asia; boosting their employee productivity and streamlining their travel management. To date, Forecepts continues our close working relationship with Sabre, to maintain and to enhance Sabre TripPlan with more features.
